Case study demo · Order Intake to ERP

Customer POs become posted sales orders in minutes, not an afternoon of typing

Purchase orders arrive as emailed PDFs, EDI 850s, and portal downloads. Someone re-keys every one of them into the ERP. This tool reads the document, checks every field against the customer and item masters and each customer's own rules, posts the clean orders on its own, and hands the order desk only the ones that actually need a human.

What it does

  • Watches a Microsoft 365 mailbox, an EDI provider, and customer portals for new POs
  • Extracts header and lines from PDFs in each customer's own layout
  • Validates customer, ship-to, SKU, contract price, MOQ and case multiples against the ERP
  • Drafts the sales order and posts clean ones through the ERP API
  • Routes the rest to a review queue with the reason and the dollar delta; every action is auditable and undoable

Measured on a live deployment

1,700+ EDI POs1,700+ EDI POs worth $45M+ from national retail accounts ingested; 680+ portal POs captured at 99.9%; 75+ sales orders pushed to the ERP in seconds each vs ~18 min manual; 250+ invoices posted from those orders.

Open the demo

Private preview. Two example workspaces — a private-label packaging manufacturer and a fastener distributor — run on generated customers, SKUs, contract prices and about 200 inbound purchase orders whose PDFs, EDI and portal files were written and then parsed back by the app itself, so nothing here is a real company's data.

Connect your systems

In a live build the same app connects to the systems you already run. In this demo every connector is simulated with generated data and no network calls are made.

ERPNetSuite (REST + SuiteQL), Microsoft Dynamics 365 Business Central (OData v4), Acumatica (contract-based REST), QuickBooks Online (Sales Receipt / Estimate API). Customer, ship-to, item, and price-list masters are read; sales orders are created and changed.
MailboxMicrosoft 365 shared mailbox via Graph API — PO attachments (PDF) picked up every 15 minutes, sender matched to the customer master.
EDI provider850 / 860 / 855 through your VAN or AS2 provider (TrueCommerce, SPS, Cleo, or a direct AS2 endpoint).
Customer portalsScheduled sweeps of supplier portals (Coupa, Ariba, custom) that export POs as CSV or PDF.
HostingRuns in your tenant or ours. Credentials stay in your secret store; the app holds only scoped tokens.
